Occasionally, it may be required to temporarily suspend or inactivate access for an employee or builder contact's user profile. LotWorks offers a quick way to do so without losing historical information, notifications, or assignments.
The recommended solution is to change the user profile's email to the user that is taking over / still active in LotWorks.
To temporarily suspend access, change a user profile's email address by editing their profile, and updating their email address to the still active user.
For Admin Users
- Select "Options > Employee" from the menu.
- Click "Edit" next to the user's profile.
- Update their email address to an active user.
For Builder Users
- Select "Builders > Builder Contacts" from the menu.
- Click "Edit" next to the user's profile.
- Update their email address to an active user.
This does not require changing any LotWorks Account information, or deleting the user from the system altogether, and is a great way to temporarily suspend access.
Why can't I just delete?
Deleting is absolutely fine when a user's access is to be removed permanently. All historical information (ex. the user's actions in the system) will still be retained.
The downside in deleting is that all assigned notifications (Setting up Event Notifications) will not be retained for admin users, and all active public sales assignments (Public Sales Contacts) and showhome traffic assignments (Show Home Traffic) will be removed for builder users.
Tips & Resources
In case a larger group of admin users needs to be archived or removed, Blueprint can produce a report of all admin notification assignments, and any setup auto-emails for easy cross-referencing. Please just open a support ticket at help@lotworks.ca and we'll do the rest.
It's also a good idea to periodically review your users' "Last Login" dates (visible in all user lists) to see if users are actively using your LotWorks system. If not, these users can be temporarily suspended, or deleted, as well.
